Purpose of Position
Under the supervision of the Procurement Services Manager, the Coordinator, Contracts, and Compliance position will streamline the management of all university expense and revenue contracts from a centralized office.
This includes creation, tracking, managing, and ensuring appropriate internal university approvals, execution of contracts to vendors, setting and monitoring payment schedules and standards, ensuring compliance, managing renewals, and termination of contracts, as needed.
Primary Responsibilities
The candidate will interact with the Office of General Counsel and campus departments regarding contracting issues, with the goal of reducing problems that may result in a delay in the delivery of desired goods and services.
Under supervision, drafts and monitors contractual agreements (both revenue and expense contracts) based on consultation with the end users. Clearly explain contract terminology to end users in simple and easy-to-understand, everyday language. Route final contracts for proper signatures through the contract management system and also process contract amendments.
Reviews incoming contracts for completeness and availability of necessary information.
Establish and improve processes, and maintain and monitor the contract database for the university. Track contract dates in CMS, and ensure end users are meeting contract renewals. Work with University departments on contract needs and resolve issues.
Ensure that all contracts are in compliance with all required regulations, and internal policies and are being carried out according to specifications, sometimes acting as the liaison between end users and contractors.
Review procurement policies, laws, guidelines, requirements, and codes to ensure that actions taken are in accordance with University policies and state or federal laws.
Support the Procurement Services team, as needed.
Qualifications
A Bachelor's degree in Business Administration, Public Administration, Accounting, or a related field is preferred. Certification or vocational training in these areas will be considered with equivalent experience.
Candidates currently working on a bachelor's degree in one of these areas will also be considered with equivalent experience.
Experience with contract management and procurement in higher education is a plus.
Must be proficient in all Microsoft programs, have the ability to assist in conducting training, and interact with senior staff in other departments.
Must be analytical and detailed oriented.
Basic knowledge of routine contractual language and terminology.
Ability to identify, analyze, and suggest solutions for problems, customer complaints, and end-user concerns.
Excellent interpersonal and communication skills.
Experience with a broad range of contracting areas-IT, construction, Facilitates, Finance, etc.
Knowledge of university policies and procurement rules and regulations is preferred.
